    Homeowners receive an introduction to Homestead, their Community Manager, new contact information, and payment instructions.
  • Go-Live
    Homestead officially assumes management and begins handling requests, concerns, and operations.
  • Final Records & Accounting Transfer
    We continue collecting final records, financial information, balances, and closeout materials from the outgoing management company and track anything still outstanding.
  • Community Portal Release
    Once records and balances are finalized, homeowners receive access to their community portal (typically within 30 days of Go-Live)

How do HOAs switch management companies?

An HOA typically begins by reviewing its current management agreement, selecting a new management company, and providing the notice required by the existing agreement. From there, Homestead coordinates directly with the outgoing management company to transfer records, financial information, homeowner data, vendor information, and other materials needed for the new management start date.

How do we know when it’s time to change HOA management companies?

Change when the trust is gone.
When you no longer believe that the things discussed in a Board meeting will get done unless you follow up again… and again.

When a homeowner calls or emails and you find yourself wondering whether anyone will respond (or whether you’ll eventually have to handle it yourself).

When Board members are tracking vendors, chasing action items, answering routine questions, and carrying work between meetings that should never have belonged to them in the first place.

A Board should not have to manage its management company.
You should be able to leave a meeting knowing the work will move forward. When you no longer believe that, it’s probably time to have a conversation.

How will homeowners be notified? 

We prepare a clear welcome communication introducing Homestead, your Community Manager, new contact information, payment instructions, and what homeowners should expect before and after the management transition.

What information do you need from us? 

Very little. We work directly with your current management company to obtain the records and information we need. If something is missing, we’ll let your Board know exactly what we need help locating.

What happens to our current vendors?

Your existing service providers can stay in place. We collect their contracts and contact information, coordinate the management change, and help your Board evaluate or replace vendors when needed.

How are financial accounts transferred?

Homestead establishes the appropriate banking and accounting structure before go-live. The outgoing management company completes its final accounting and transfers community funds, balances, and financial records for reconciliation. We track outstanding items until the financial transition is complete.

How long does the transition take? 

The operational transition begins as soon as notice is provided, and Homestead assumes management on the agreed start date. Final records, accounting, funds, and balances may continue arriving during the following weeks while the outgoing management company completes its closeout.

Will there be a gap in service?

No. There is no gap in management service. Your current management company remains responsible through the end of its management period, and Homestead assumes management on the agreed start date. From that point forward, Homestead handles the community’s day-to-day management, Board support, homeowner requests, and vendor coordination. Final records, funds, or accounting information may continue to transfer after the start date, but that does not interrupt management service.
